    Education and Experience

    • Bachelor degree in Business;
    • 4 years experience in sales and /or supply chain having prepared stock analysis, demand forecasting and planning documents;
    • An understanding of finance would be advantageous;
    • Must speak English fluently with basic Portuguese - able to read and write

    Responsibilities:

    • Plan, organise and direct the day to day operations of receiving, warehousing and distribution of goods through the Distribution Centre;
    • To ensure that warehouse processes are running smoothly and promptly;
    • Manage, control and coordinate the Logistics department's activities ensuring that departmental objectives are met;
    • To manage the Importation department and processes ensuring that goods are landed, released and transported to warehouses as scheduled;
    • Build a network of suppliers and providers which can provide product and materials to the Company which are in line with the expected costs, quality and availability;

    Key outputs to be achieved by the role:

    • To manage the Importation department and processes ensuring that goods are landed, released and transported to warehouses as scheduled;
    • Produce stock demand forecasts and place orders on time to ensure no interruption in supply;
    • Create shipping schedules and monitor progress to ensure smooth arrival and receiving of goods;
    • Coordinate and direct the warehouse operations ensuring that distribution targets are met;
    • Liaise with transport companies in order to meet customer expectations.
    • Manage stock control procedures and reconcile physical stock with information held on the data storage system;
    • Coordinate and plan staff schedules, and oversee the implementation of staff work routines;
    • Creates and maintains technical and commercial supplier comparison database for easy supplier selection and assessment;
    • Engage with key suppliers on smaller purchases to resolve problems with the timeliness or quality of supplies;
    • Analyse previous year purchases and collect the needs of the current year in order to prepare the purchasing forecast;
    • Keep track of available stock / supplies and average consumption in order to pro-actively plan for upcoming purchases;
    • Open advances based on quotation total and close advances by procured invoices.

    Planning cycle:

    • Produce annual, quarterly and monthly stock forecast;
    • Plan orders to address seasonal sales;
    • Monthly for the arrival of shipments;
    • Plan documentation and arrange official payments (licenses etc.) to prepare for timeous release of shipments.

    Level of authority:

    • Take decisions in own areas of responsibility.

    Major challenges:

    • Balancing stock i.e. the right amount of stock in the warehouse at the right time.

    Technical Competencies:

    • MS Office basics - able to develop and maintain spreadsheets and generate reports;
    • Management skills;
    • Finance Course such as finance for non financial managers would be advantageous.
